Security Guard Software
for Richmond Companies

CGuardPro is security guard management software for companies running posts in Richmond, Henrico and Chesterfield: scheduling and relief coverage, GPS and selfie clock-in, QR or NFC guard tours, incident and daily activity reports and a client portal, in one web command center with guard, supervisor and client apps for iOS and Android. It costs $5 per user per month, one plan with every feature, with a 7-day free trial. As the state capital, Richmond mixes government office posts with a large academic medical center, data center campuses in Henrico and distribution buildings where I-95 meets I-64, all under Virginia DCJS rules.

What does guard work in Richmond look like?

State government buildings

Capitol Square and the state agency offices around it run lobby screening, visitor badges and after-hours rounds. Agencies expect visitor logs they can audit and post orders that match their own procedures.

The downtown medical campus

VCU Medical Center and the hospitals across the metro want emergency department posts, garage rounds and patient watches, with incidents categorized the way the hospital’s own security office sorts them.

Data center campuses

Henrico and the counties around Richmond host large data center campuses. Those posts are about perimeter tours, gatehouse logs and proving that every round was walked at the time the contract says.

Where I-95 meets I-64

Distribution buildings in Chesterfield, Hanover and eastern Henrico want trailer checks at the gate and overnight yard tours, often with one officer covering a large lot.

Race weekends and campus nights

Richmond Raceway race weekends and event nights at the universities add short, crowded deployments on top of the weekly roster.

The 90-day training window

Virginia lets an unarmed officer work for 90 consecutive days while finishing entry-level training, if fingerprints went in by the hire date. That window is easy to lose track of with steady hiring, so the date belongs on the officer’s profile from day one.

Incident reports with photos

Hospital incidents filed from the phone with photos and a category the client recognizes.

What does Virginia require of a guard company in Richmond?

Licensing is statewide, through the Virginia Department of Criminal Justice Services, Private Security Services. The company holds a private security services business license, keeps one compliance agent and carries at least $1,000,000 of general aggregate liability insurance. Unarmed officers complete 18 hours of entry-level training and 4 hours of in-service training; armed officers complete 50 hours including handgun training, with firearms retraining each year. Registrations run two years.

We have not found a separate City of Richmond, Henrico or Chesterfield security guard license; confirm with the locality, since a general business license may still apply. Overtime follows the Virginia Overtime Wage Act: time and a half over 40 hours in a workweek.

CGuardPro does not file anything with DCJS. It keeps each officer’s registration and training dates on the profile and warns before they lapse. See our Virginia page and the guide to starting a security company in Virginia. This is a summary, not legal advice.

Richmond Security Software Questions

How do we track the 90-day training window for new hires?

Record the hire date and fingerprint submission on the officer profile and add the entry-level training as a credential with its due date. CGuardPro warns before the date so the officer finishes training in time. It warns; it does not stop you scheduling them.

Does the City of Richmond license security officers separately?

We have not found a separate city or county guard license around Richmond; Virginia DCJS registers officers statewide. Confirm with the city or county, since general business licensing still applies.

Can a state agency see visitor logs for its building?

Yes. Give the agency’s contact a client login and they see visitor entries, incidents and daily activity reports for that building only. Each login counts as a user at $5 per month.

How do we prove data center rounds happened on time?

Place QR codes or NFC tags along the fence and at the gatehouse, set the tour schedule, and every scan is verified on the server with its time and position. A tour that is missed raises an alert.

Does CGuardPro work with our payroll?

If you run payroll in Gusto, approved hours per officer go to Gusto as time sheets split into regular and overtime by the federal weekly rule. QuickBooks Online is also supported for approved hours. You run payroll itself in those tools.
