Guard hours into QuickBooks
approved once, never retyped
CGuardPro connects to QuickBooks Online. Once your supervisors approve the shifts, CGuardPro sends the hours to QuickBooks by person and post, each one backed by a clock-in with selfie, GPS and server time. Payroll is still processed in QuickBooks, and the connection is included in the single CGuardPro plan at no extra cost.
What problem does it remove?
In most guard companies the hours exist twice: once where officers clock in, and once in the spreadsheet someone builds every pay period to key into QuickBooks. The second copy is where a corrected punch goes missing and a night shift lands on the wrong day. With the connection there is no second copy: the hours in QuickBooks are the hours your supervisor approved, with the punch evidence still attached in CGuardPro if an officer or a client questions them.
How does it work, step by step?
-
1. Connect
An admin opens Settings, Integrations, and signs in to QuickBooks Online with their Intuit account to authorize the connection.
-
2. Match your people
Your officers, supervisors and office staff in CGuardPro are paired with the matching people in QuickBooks, so each hour lands on the right person.
-
3. Review and approve hours
Shifts close with a selfie, GPS and server time on each punch. Corrections go back through review, and only approved hours are sent.
-
4. Send to QuickBooks
The approved hours for the period go across to QuickBooks Online by person, with the post they were worked at, so nobody retypes a timesheet.
-
5. Run payroll in QuickBooks
Whoever runs payroll opens QuickBooks and processes it there, as today. Pay rates, taxes, deductions and paychecks stay in QuickBooks.
What stays in QuickBooks, and what stays in CGuardPro?
QuickBooks keeps everything that is payroll and accounting: pay rates, taxes, deductions, paychecks and your books. CGuardPro keeps everything that happened on the post: the schedule, the geofenced clock-in with selfie, the guard tour, the incident report. The connection carries what payroll needs — the approved hours.
CGuardPro does not invoice your clients. The approved hours by client and post are what back your billable hours; see payroll and billing hours. On Gusto instead? See the Gusto integration, or all integrations.
Frequently asked questions
What does the CGuardPro QuickBooks integration do?+
It sends approved, verified hours from CGuardPro to QuickBooks Online by person and post, so payroll in QuickBooks starts from the record your supervisors approved instead of a spreadsheet someone retypes every period.
Does CGuardPro run payroll or invoice our clients through QuickBooks?+
No to both. Payroll is processed in QuickBooks, as before. And CGuardPro does not create invoices: it is an operations platform. The same approved hours, by client and post, are what back your billable hours, but the invoice is produced in your accounting system.
Which QuickBooks product does it connect to?+
QuickBooks Online. If your company uses QuickBooks Desktop, export approved hours from CGuardPro as CSV or Excel instead.
What does the QuickBooks integration cost?+
Nothing extra. It is part of the single CGuardPro plan at $5 per user per month. Your QuickBooks subscription is separate and billed by Intuit.
We use Gusto, not QuickBooks. Is there an option?+
Yes. US companies can send approved hours to Gusto instead; see the Gusto integration. Any other payroll system can take the CSV or Excel export.
