The assistant that acts,
not just answers
Type to it the way you would to the dispatcher next to you: “Juan didn’t show up, log it and tell me who can cover”. VigIA finds him, records the no-show, shows you a card to confirm and proposes replacements. Inside your CRM, with your permissions, leaving a trail.
In Spanish a vigía is the lookout — the one who watches from the high point and calls it before anyone else. We put the AI inside the word.
VigIA
Operations assistant
Juan Pérez didn’t show for the Torres del Río shift. Log it and tell me who can cover.
Found Juan Pérez Aguilar on the 07:00–19:00 shift at Torres del Río — Main Gate. Confirm that I log the no-show?
Confirm action
Log a no-call no-show for Juan Pérez Aguilar on today’s Torres del Río shift, and open a coverage event.
Done. Three candidates, ranked: Carlos Vergara (off today, knows the post), Ana Molina (relief guard available), Luis Cedeño (short shift yesterday). Want me to offer it to all three on WhatsApp and give the post to the first who accepts?
Sample conversation. The names are fictional; the flow is the real one.
At 6 in the morning nobody wants to navigate menus
One decision, three screens
Logging the no-show is in one place, finding cover in another, telling the client in a third. Meanwhile the post is still empty and the phone is ringing.
The data is there; the answers are not
Coverage, incidents, hours for the period: it all exists in the system. And the answer to the client is still “let me check and call you back”.
An AI that only chats cannot fill a post
A chatbot bolted on top is worth nothing. And an AI that acts without control is a risk no security company can afford.
These are not “commands”. It is just how you talk.
VigIA has no syntax manual. You write to it the way you would to someone on the team, and if it is missing something, it asks.
People
- Invite guards and office staff (with their role)
- Find someone on the roster and open their profile
- Pull a guard's schedule for any date range
- Write a memo or a post order for someone
Today's coverage
- Report a no-show with its real reason
- Suggest replacements using the real coverage ranking
- Fill an open post with whoever you pick
- Go out over WhatsApp and give the shift to the first who says yes
- Temporarily move someone to another post, with dates
- Close a coverage event that resolved itself
Clients and sites
- Create a new client
- Create a site and a guard post
- Email a client their report, already generated
- Summarize a client: incidents, patrols, coverage
Operations questions
- How is coverage right now?
- What incidents happened this week?
- Who clocked in late? Who never clocked out?
- Payroll summary for the period
- What is still missing to finish setting up the company?
Giving an AI hands is only responsible with three rules
These are not settings you can switch off by accident: they are in the design.
Nothing runs until you confirm it
Every action that WRITES shows up first as a card: what will happen and who it affects, by name — not by internal code. If you do not press Confirm, nothing happens. Read-only questions answer straight away.
The card is signed by the server and expires in 5 minutes. Confirming twice does not run it twice.
It uses YOUR permissions, never more
VigIA acts as the person typing. If your dispatcher cannot create administrators from the screen, they cannot get one by asking VigIA either. There is no robot account with extra powers.
And it does not serve the field apps: it is an office tool, scoped exactly like your session.
Everything is written down
Who asked for what, when, what ran and how it ended. The whole conversation is kept and can be read later — because "the AI did it" is not an acceptable answer when a client asks.
The log records even the failed attempts, with the reason.
In the CRM and on WhatsApp
In the panel it is a bubble in the corner: it opens over whatever you were doing, without changing screens. And for the office people who live on their phone, VigIA answers on WhatsApp from your company’s own number — same conversation, same rules and the same confirmation cards.
- The thread is kept: close the chat and pick it up where you left off.
- It speaks your company’s language: Spanish, English or Portuguese.
- If your company is just starting, VigIA walks you through it: client → site → post → guards.
An ordinary morning
- 05:47
The supervisor writes on WhatsApp: “the Pontevedra guy isn’t here”.
- 05:47
VigIA identifies the shift and the post, and asks for confirmation to log the no-show.
- 05:48
Confirmed. It offers the shift on WhatsApp to the three best candidates.
- 05:56
Carlos replies “YES”. He gets the post and the others are told it is already covered.
- 06:00
The post opens on time. The whole thread is in the log, with who asked for what.
The usual validations still apply: double shift, minimum rest and a current licence are checked exactly as if you had done it by hand.
Messages included every month. After that, cents.
Your plan includes a monthly allowance of VigIA messages. If you use it up, each extra message comes out of the same balance you already use for SMS and WhatsApp: one top-up for everything, with no separate “AI” invoice.
Settings shows how many messages you have used this month and what it cost. And if you would rather not have AI in your operation, it turns off completely — nothing else changes.
What people ask before switching it on
Can VigIA do anything without my approval?
No. Anything that changes something — inviting, creating, reporting, filling a post, transferring — appears first as a confirmation card showing the real names of who it affects, and only happens if you confirm. Read-only questions ("how is coverage?") answer straight away, because they change nothing.
What if an employee asks it for something they should not have?
VigIA inherits the permissions of whoever is typing. A user who cannot do something on screen cannot do it by chat either. There is also an authority floor: even with permission, VigIA will not create administrators by chat — that is done by hand, on purpose.
Does it make mistakes? What if it mixes up two people with similar names?
That is exactly why the confirmation card shows the person's NAME, not an internal id. If it proposes the wrong Juan, you see it before confirming and correct it in the same conversation. That design is what stops a misreading from becoming a real action.
Can it answer things unrelated to my operation?
No, and that is deliberate. VigIA only talks about your operation: guards, clients, posts, coverage, incidents, schedules. Ask it for a recipe or to write code and it says that is not its job and returns to the topic. It also will not reveal how it is configured, or accept someone claiming to be someone else.
What does it cost?
Every company gets a monthly allowance of messages included. If you run out, each extra message costs cents and comes out of the same balance you already use for SMS and WhatsApp: one top-up for everything. Settings shows how many messages you have used this month and what it cost.
What about my data? Who is it shared with?
VigIA works only on YOUR company's data: one company's information never enters another company's conversation. It sees only what the person typing would see.
I do not want AI in my company. Can I turn it off?
Yes, completely and per company. Ask us and it is disabled, and the CRM keeps working exactly as before — VigIA is help, not a part the operation depends on.
Ask it for something real in the demo
Book a demo, type “log Juan’s no-show and tell me who can cover” and watch what happens. No slides.
