Security Guard Software
for New York City Companies
CGuardPro is security guard management software for companies running posts in New York City’s five boroughs: scheduling and relief coverage, GPS and selfie clock-in, QR or NFC guard tours, incident and daily activity reports and a client portal, in one web command center with guard, supervisor and client apps for iOS and Android. It costs $5 per user per month, one plan with every feature, with a 7-day free trial. In New York the posts that dominate are lobby desks in office and residential towers, construction sites, hospitals and FDNY fire guard assignments, and a supervisor checks them by subway rather than by car.
What does guard work in New York City look like?
Tower lobbies and turnstiles
Midtown, Lower Manhattan and Hudson Yards are vertical: a post is a lobby desk, a loading dock or a freight elevator, and the property manager wants every visitor and delivery written down. Visitor logs on the guard app replace the binder at the desk, and the manager reads them in the client portal.
Fire guards under the FDNY
When a sprinkler or alarm system is out of service, New York needs fire guards with an FDNY Certificate of Fitness patrolling the affected area at least hourly. These assignments start on short notice and run around the clock, so they are a scheduling problem as much as a patrol problem.
Supervision on foot and by train
A road supervisor in Manhattan covers sites by subway and on foot, not along a highway. Each site visit logged from the supervisor app carries its time and position, which shows the client a supervisor really came by between 2 and 3 a.m.
Residential buildings
Co-ops, condos and rental buildings want a front desk that knows who is expected. Residents can pre-authorize a guest from the client app and send a QR code, and the officer scans it on arrival instead of calling upstairs.
Hospitals across the boroughs
Medical centers in all five boroughs run emergency department posts, patient watches and escorts. Incidents filed from the phone with photos and a category land in front of the hospital’s own security director without a phone call.
Construction that never stops
Overnight site security on Manhattan and Brooklyn construction means gate logs for deliveries, perimeter tours and photos of the hoist and the fence line, often next to a fire guard assignment on the same job.
What CGuardPro gives a New York City operation
Fire watch tours
Fire guard rounds as timed tours over QR or NFC checkpoints across the impaired floors; each scan is time-stamped and located by the server, and a missed round raises an alert.
License and certificate tracking
Each fire guard’s Certificate of Fitness and each officer’s state registration sit on their profile with an expiry date, so you see the lapse coming before you schedule them.
Lobby visitor management
Lobby visitor entries logged from the guard app with name, host and time, readable by the property manager.
Visitor pre-authorization
Residents and tenants approve guests ahead of time from the client app; the officer scans the QR code at the desk.
Call-off coverage
When an officer calls off before a tower shift, the post shows as uncovered and you send relief, extend the officer on duty or move someone from another site.
Supervisor site inspections
Supervisor visits as inspection templates per post, completed with photos at each stop and kept in a supervision history.

What licensing applies to a guard company in New York City?
Two layers. The state one applies everywhere in New York: the Department of State’s Division of Licensing Services issues the Watch, Guard or Patrol Agency license (a two-year license) and each officer’s security guard registration, and training follows the state schedule of an 8-hour pre-assignment course, 16 hours of on-the-job training within 90 days and an 8-hour annual in-service course, per the Department of State. Our New York State page has the full summary.
The city layer is the FDNY. Fire guards covering an impaired sprinkler or alarm system need a Certificate of Fitness F-01; after the first four hours of an out-of-service condition only certificate holders may patrol. The FDNY study material says affected areas must be patrolled at least once every hour, no single fire guard may cover more than 50,000 square feet, and the record must be kept in writing or through approved electronic measures for at least 48 hours.
CGuardPro does not license anyone and its tour history is not an FDNY-approved form. It gives you the scan times, positions and photos behind each hourly round and the certificate dates on each fire guard’s profile; keep the signed daily record the FDNY asks for. More in our New York guard license guide.
New York City Security Software Questions
Can CGuardPro run FDNY fire guard assignments?
It can schedule the fire guards and record the rounds: a timed tour over QR or NFC checkpoints on each impaired floor, every scan time-stamped and located, a missed round flagged. It does not replace the FDNY’s requirements. The fire guard still needs a Certificate of Fitness, and you keep the signed daily record the FDNY describes; the tour history is the evidence behind it.
How do we track Certificates of Fitness across our fire guards?
Add the certificate to each person’s profile with its expiry date. License tracking warns ahead of the lapse so you can renew or reassign. It warns; it does not block the schedule, so the decision stays with your operations manager.
Does GPS clock-in work inside a Manhattan high-rise?
The punch records GPS against the post geofence plus a selfie and server time, and it needs a live connection. Deep inside a steel-and-concrete building GPS can drift, so set the geofence to cover the lobby and the entrance, and agree where the officer punches.
Can a building’s property manager see the lobby logs without calling us?
Yes. Give the manager a client login and they see visitor entries, incidents and daily activity reports for their own building, and only theirs. Client logins count as users at $5 per user per month.
Our supervisors travel by subway. How do we prove they visited?
Each stop is a site inspection in the supervisor app, completed on site with photos and notes, carrying time and position. Dispatch follows the route live and every visit stays in a supervision history by post and date.
